How the engagement runs
1. Document intake
Invoices, receipts and bank statements arrive by an agreed date each month, by scan, e-mail or shared drive.
2. Recording and reconciliation
Entries are posted, accounts reconciled, and anything missing is chased while the month is still fresh.
3. Filings
The month's tax returns are prepared from the ledger and filed before the statutory deadlines.
4. Report
The month closes with the management summary and a note of anything that needs the owner's decision.

What a properly run monthly cycle looks like
A month closes well when nothing is left implicit. Every bank movement has an identified counterpart, every purchase invoice has been checked for the particulars Thai law requires, employee costs agree to the payroll register, and the balances that carry forward have been reconciled rather than assumed. That discipline is what allows the annual audit to be a review instead of an investigation.
The cycle is timed around statutory deadlines rather than convenience. Documents are collected in the first days of the month, entries and reconciliations follow immediately, indirect tax positions are verified before the mid-month filing, and the reporting pack is issued while the information is still useful for decisions. Reports that arrive three months late describe history; reports that arrive promptly change behaviour.
Foreign-owned companies usually need two outputs from the same ledger: statutory figures prepared under Thai requirements and a management view the parent company can consolidate. We produce both from one reconciled source, so the two never drift apart and questions from head office can be answered without a separate exercise.

Handover, systems and what we need from you each month
A monthly engagement works because the exchange of information is predictable. We agree what reaches us and when: bank statements for every account, sales documents issued during the period, purchase invoices and receipts, payroll details for the month, and copies of anything filed with an authority. Documents arrive by whatever route suits the business — scanned, uploaded, or collected physically — but the deadline is fixed, because everything downstream of it is fixed by law.
Taking over from a previous provider adds a defined first stage. We reconstruct opening balances from the last set of statutory accounts, compare them to what the ledger actually shows, verify that returns already submitted agree with the underlying records, and list the differences before posting a single new entry. Inheriting an unexamined ledger means inheriting its errors, and those errors surface at the least convenient moment, usually during an audit.
Growth changes what the monthly cycle has to produce. A company with three staff and one bank account needs a straightforward reconciliation; the same company two years later, with several revenue streams, stock in two locations and a credit facility to service, needs cost analysis by activity and a cash forecast the bank will accept. We adjust the reporting as the business changes instead of delivering the same template for years, and we say so when a change is warranted rather than waiting to be asked.
The system used matters less than the discipline applied to it. We work with the common Thai accounting packages and with cloud platforms, and we do not force a migration unless the current arrangement genuinely blocks accurate reporting. What we insist on is that the ledger, the tax filings and the bank all tell the same story, and that any difference between them is documented at the time rather than explained from memory a year later.

Thai law requires a qualified bookkeeper to be identified for the company. We name the individual responsible for your file so the accountability is explicit rather than institutional.

- What documents do I need to send each month?
- Sales tax invoices issued, purchase tax invoices received, bank statements for all accounts, payroll details if you have staff, and receipts for cash expenses. Scans or photos are acceptable; originals stay with you.
- Which accounting software do you work on?
- We work on the packages common in Thailand — Express, PEAK, Xero and FlowAccount among them. If you already use one, we continue on it; if not, we recommend based on your volume and reporting needs.
- Who actually does the work?
- Entries are made by TFAC-registered accountants whose continuing professional education hours are current, and the monthly output is reviewed before anything is filed. This matters because a filing error is the client's liability regardless of who typed it.
- How is the monthly fee set?
- By transaction volume, number of bank accounts, VAT status and payroll headcount — quoted in writing after we see one representative month of documents. We do not publish a fixed price list because volume decides the workload.
