Bookkeeping and Tax for Tutoring and Training Institutes

A training institute looks distinctly different in the books from a business selling goods, because the course fee arrives as one prepayment while the service is delivered across many months. Money banked today is therefore not all of this period's revenue, and misreading that makes enrolment-season profit look far higher than it is, leading to spending decisions built on a wrong number. Separately, instructor pay spans employees and independent teachers, whose tax treatment differs. Our work makes revenue reflect teaching actually delivered, surfaces the prepaid balance still owed as service, and gets instructor paperwork right from the first payment.

What usually goes wrong in this business

Treating Prepaid Course Fees as Immediate Profit

Enrolling a six-month course and collecting the full fee up front makes the bank balance look excellent that month. An institute reading that as profit tends to pay bonuses, add classrooms or buy more advertising at once, only to find five months of teaching still owed while instructor cost and rent keep running. Cash tightens mid-course even though the accounts appeared profitable.

Paying Instructors Without Distinguishing Employment Status

An instructor with a fixed timetable, fixed remuneration and institute supervision differs in character from one engaged per course who determines their own method. Paying both the same way leaves withholding documents and social security obligations out of line with the facts, an exposure that can be reviewed retrospectively and is hard to unwind years later.

Refunds and Deferrals With No Recording Routine

Students requesting refunds, deferral to a later intake, or transfer of their place to someone else is routine here. Recording only how much money went out, without tying it to the course and period concerned, distorts both revenue and the prepaid balance, leaving a closed set of accounts whose figures cannot be explained.

Selling Online Courses Abroad Without Considering Tax

An institute beginning to sell recorded courses through a platform to overseas learners often treats it as one pot with classroom revenue, when the VAT analysis and supporting documents can differ according to how the service is supplied and where the recipient sits. Not separating the data from the start makes retrospective separation nearly impossible.

What you receive

A Revenue Recognition Schedule Tied to Teaching Periods

We build a schedule spreading each intake's fees across the sessions or months actually taught, so reported profit reflects service already delivered rather than money just received.

An Auditable Balance of Unearned Course Fees

We present fees collected but not yet taught as a separate balance with a breakdown by intake, so the owner sees the service obligation still outstanding before committing funds.

Structured Documentation for Instructor Pay

We classify instructors by how they actually work, produce withholding documents and certificates of the right type, and handle contributions for those meeting the employment conditions.

A Routine for Refunds, Deferrals and Transfers

We supply forms and a recording method tying every refund or deferral to the originating course and period, so revenue and the unearned balance adjust correctly as a matter of course.

Closing and Filing on the Tax Calendar

We close monthly and file the applicable returns within their deadlines, including those covering instructor remuneration and classroom rent, so avoidable penalties never occur.

The Heart of Institute Accounting Is Timing, Not Amounts

A goods business recognises revenue on delivery, a single clear point. A teaching institute takes money first and delivers afterwards over a long stretch, so revenue must spread across the teaching that occurs rather than the date cash arrived. The distinction sounds like accounting technique, but its effect is directly financial: an institute recognising the whole fee on receipt sees profit bunched into the enrolment month and losses across the rest, despite entirely steady operations. Every month's reading of the business is then wrong.

Spreading revenue correctly requires a basis matching actual delivery. A course with a fixed session count taught on a regular schedule spreads straightforwardly by sessions delivered. A course a learner may attend at any time within a window, or one granting unlimited video access, demands deciding whether what was sold is sessions or access for a period, because the answer changes the entire allocation. An institute offering several formats at once should therefore fix a written policy and apply it consistently year to year.

Instructor status is where this industry accumulates the largest retrospective exposure. The law looks at the facts of the relationship rather than the label on the contract. An instructor required to attend on the institute's timetable, using the institute's materials, paid monthly regardless of student numbers, and unable to take other work in those hours bears the character of an employee whatever the agreement is called. Conversely, one engaged for specific agreed courses, preparing their own content and freely taking work elsewhere, has the character of an independent contractor. Classifying to the facts at the outset costs a fraction of correcting it later.

Refunds deserve a policy set in advance, both commercially and for the books. Stating clearly how many days allow a refund, what proportion returns once part of the course is consumed, and which cases carry none reduces disputes with learners and gives the accounting a reference point. When a refund occurs, the correct treatment reduces the unearned balance for teaching not yet delivered and adjusts recognised revenue where the refund reaches back over sessions already given. Booking the whole thing as one expense without splitting those two keeps period revenue persistently overstated.

An institute growing from one classroom to several branches, or extending into online courses, usually finds its cost structure changed outright. A classroom carries heavy fixed cost in rent and a ceiling on learners per cycle, while a recorded course costs once to produce and resells with very little incremental cost per learner. Combining both in one undifferentiated set of accounts hides which format actually earns. An institute separating the data from the first day of expansion decides its next investment on figures rather than impressions.

Finally, the records an institute should keep are not only receipts issued to learners but evidence that teaching occurred as the revenue recognition asserts: timetables, attendance records, and proof of instructor payment for the same period. A mutually consistent file of that kind turns any explanation to an officer into opening a folder rather than constructing a retrospective account, and it is precisely what the auditor wants to see at the annual review too.

Schools Established Under Private School Legislation

An institution established and licensed under dedicated legislation faces accounting requirements and tax treatment differing from an ordinary company offering classes, so confirm the establishment status before fixing the treatment.

Classroom Rent Charged by the Hour

Renting a room by the hour from an office building or hotel can amount to a service charge rather than immovable property rent, which affects the withholding rate, so review the contract and invoice together.

Instructors Located Overseas

Paying an instructor not resident in Thailand requires considering the source of income, remittance obligations and any applicable double tax treaty before funds leave.

Scholarships and Discounts Given to Learners

A discount granted at enrolment belongs as a reduction of revenue, distinct from a scholarship paid in cash afterwards, which is an expense in character and may raise a tax question for the recipient.

How the engagement runs

  1. 1. Map Current Course Formats and Collection Methods

We work through every course format offered, its duration, collection method and published refund terms, to set a recognition basis suited to each.

  2. 2. Classify Instructors and Set Up Payment Documents

We interview the actual working conditions of each instructor group, then prepare payment and withholding document sets matching the correct classification, with reusable forms for every period.

  3. 3. Install the Intake Register and Recognition Schedule

We hand over an intake register linking fees received, session counts and refunds in one place, so each month's recognition can be computed without reopening old paperwork.

  4. 4. Close Monthly and Report Margin by Course Format

We close every month, file returns on schedule, and report classroom course margin separately from online course margin for management to plan the next intake.

Rates, deadlines and filing formats change. Confirm the current position with the Revenue Department, the Social Security Office and the Department of Business Development, or ask us to confirm it for your case.

Questions owners ask first

If a full year's fees are collected up front, is tax due on all of it at once?
In the books revenue is recognised as teaching is delivered, and corporate income tax is computed on accrual-based profit as adjusted by tax law, which broadly follows that periodic recognition; VAT, however, has its own point at which liability arises and must be considered separately from revenue recognition.
Must a training institute register for VAT, or is it exempt?
It depends on the establishment status and the nature of the service, as an institution established under dedicated legislation and a company running general training courses are treated differently; confirm the establishment status and the actual scope of service before concluding.
What withholding applies to fees paid to a part-time teacher?
The rate depends on which category the remuneration falls into given the facts of the relationship, since an instructor employee and an independent contractor follow different bases, so classify clearly before the first payment.
How should a refund to a student be recorded correctly?
Split it in two: reduce the unearned balance for teaching not yet given, and adjust revenue for sessions already delivered and recognised, attaching the refund request and the outgoing transfer evidence.
Should revenue from overseas online learners be tracked separately?
Separate it from the start, since the VAT analysis and supporting documents can differ from domestic courses, and keeping the data apart in advance means answering an officer's question without reconstructing past entries.
Can course video production cost be expensed immediately?
It depends on whether what results is an asset yielding benefit across periods or a cost consumed within one, and video resold over several years typically has the character of an asset amortised over its useful life.
Selling through an intermediary that remits net of its cut — which figure goes in the books?
What the learner pays is the institute's revenue, while the intermediary's cut belongs on its own line as a channel cost; entering only the money that arrived shrinks both the revenue and the expense side of the statements below what really happened.
Is it viable to teach as an individual first and incorporate later?
It is viable and common at the start, though the transition point deserves advance planning, because moving learners who already prepaid and instructor agreements into a new entity requires complete documentation, not merely changing whose name receives the money.

Could you do this in-house?

A small institute usually starts with the owner keeping learner names and amounts in a spreadsheet, which suffices while one course format and a handful of instructors exist. Once intakes overlap, classroom and online formats run side by side, and instructors hold different statuses, the figures in that single file begin contradicting each other with no way to tell which is right. Let us look at your course structure and collection method as they stand; a written fee proposal then follows, set against intakes per year, instructors needing documentation, and the number of formats requiring their own recognition basis.
